SEO reports explained

Published 21 August 2026 · Updated 26 August 2026 · 8 min read

A good SEO report answers three questions: what did you do, what happened, and what are you doing next. Most reports answer none of them.

Read with AI

Reports are where the relationship with an agency succeeds or quietly fails. This guide covers what should be in one, how to read it quickly, and what to do when it does not add up.

The three sections that matter

  1. What we did. Specific work completed: pages published, fixes made, links earned. Not "ongoing optimisation".
  2. What happened. Results against the same period last year, with branded and non branded separated.
  3. What is next. The plan for the coming month, and what the agency needs from you to deliver it.

That third section is the one most often missing and the one that best predicts whether the campaign is being steered. An agency without a forward plan is reacting, and you are paying for the reaction.

The numbers worth looking at

MetricWhy it mattersWhat to watch for
Non branded organic clicksThe clearest measure of SEO earning you new attentionBeing merged into total organic traffic
Organic enquiries or callsThe only number that pays your billsAbsent entirely, or untracked phone calls
Impressions by query groupEarly evidence that new content is being seenReported instead of clicks, not alongside them
Rankings for commercial termsA diagnostic for whether the strategy is landingOnly easy or invented phrases being tracked
Pages indexedConfirms published work is actually live and readableNever mentioned on a site with technical problems

SEO KPIs that matter goes deeper on which of these to hold an agency to, and measuring SEO ROI covers turning them into a commercial number.

How to read a report in ten minutes

Presentation habits that flatter

  • Comparing to the previous month when the previous month was seasonally weak.
  • Including branded search in organic growth, which credits SEO for people who already knew you.
  • Leading with impressions, which rise whenever anything is published, regardless of whether anyone clicks.
  • Charts with no axis labels, or a vertical axis starting well above zero.
  • Tracking easy keywords that were always going to rank.

Any of these alone can be innocent. Several together suggests the campaign is being managed for the report. Cross check the same period yourself in Google Search Console, which is free, is your own data, and takes about five minutes.

Access is not negotiable

You should own your Search Console property, your analytics and your Google Business Profile, with the agency added as a user. If access is withheld, treat it as serious: it appears on our list of SEO agency red flags for good reason, and it makes switching agencies far more painful than it needs to be.

If the reporting has not improved after two conversations, when to fire your SEO agency is the decision framework, and you can compare Bristol SEO agencies when you are ready to look elsewhere.

Frequently asked questions

How often should I get a report?

Monthly is standard and sufficient. Weekly reporting on a discipline that moves over months creates noise and encourages short term decisions. A quarterly strategy review alongside the monthly report is the better structure.

Should reports include competitor data?

It is useful context, particularly on whether the market as a whole moved. It should never be the headline, because a competitor’s decline is not your growth.

What if I do not understand the report?

Say so, and ask for it in plain terms. A report you cannot interpret is not doing its job. Any agency unwilling to explain their own numbers is telling you something important.

Is a live dashboard better than a written report?

Only alongside one. Dashboards show numbers and not judgement. The value in a report is the interpretation: why something happened and what follows from it.
